As we continue our exciting transition to a new Electronic Document and Records Management System (EDRMS), this is a unique opportunity to be part of a major modernisation programme that will transform how we manage health records across the Trust.
About the Role
From March 2026 to February 2027, the Health Records Department will undertake an intensive programme of work to prepare, box, barcode, scan, and remove all remaining paper records from the warehouse at Mitchell Way. This will be a major operational shift as we transition into a fully digital records environment.
As part of a rotating Band 2 workforce, you will help ensure we meet our daily and monthly clearance targets — supporting service continuity through periods of annual leave and sickness.
Key Responsibilities
You will be involved in a wide range of physical and administrative tasks, including:
Warehouse‑Based Digitisation & Clearance
- Working in a manual, physically demanding environment.
- Handling and moving large volumes of patient records.
- Working with five‑tier shelving units and rolling rack systems to retrieve and organise files.
- Boxing, barcoding, labelling and preparing records for off‑site scanning.
- Ensuring accuracy and consistency to meet the project’s digitisation standards.
Productivity Targets
- Contributing to a daily team target of 120 record units per day to ensure the warehouse is fully cleared by February 2027.
- Supporting a 5 FTE per day/week rota to maintain productivity across the project lifecycle.
Digital Records Preparation
- Assisting with scanning preparation, including collating documents, inserting dividers and organising files for digital indexing.
- Supporting the Trust’s move to the Hylands electronic records platform, ensuring high-quality digital input.
