Job Summary:

Ward Clerks play a vital role in ensuring the ward runs smoothly, supporting both patients and staff by helping maintain accurate records and providing essential information. As a Ward Clerk, you’ll support a multidisciplinary team including doctors, midwives, nurses, therapists, and administrative colleagues. Regular contact with patients and relatives means excellent communication and customer service skills are essential. To succeed, you’ll need a friendly manner, strong organisational skills, and the ability to manage multiple tasks effectively. Main Duties and Responsibilities:

• To provide an efficient and professional reception and clerical service which gives confidence to patients and their relatives. To include:

• To receive patients and relatives in a friendly and courteous manner and provide relevant information to patients and relatives clearly and in a way that patients and relatives understand.

• To answer all telephone enquiries, taking and relaying messages in a polite and helpful manner, taking action as appropriate.

• To liaise with Midwives, Nurses, Doctors, GP’s and other members of the Department team obtaining and communicating necessary information accurately to assist the provision of a quality service for the patients.

• To maintain the Hospital Electronic Tracking System for the tracing of health records.

• To maintain any admission book, inpatient board and patient details /appointments on the patient administration system efficiently so that there is timely and accurate information available at all times on patients.

• To maintain skills in Electronic Patient records including Millennium and Badgertnet

• To support the nursing staff and other members of the multidisciplinary team in the efficient and courteous discharging of patients. Be aware of and assist in the maintenance of Trust quality targets in connection with waiting times.

• To arrange follow up appointments and transport for patients as and when appropriate.

• To organise the maintenance / repairs of equipment on the ward.

• To carry out other clerical duties as required, this will include filing of digital information on the EPR, the opening and sorting of post.

• To assist in the ordering of ward stores and to maintain stock levels of stationery within the ward area.

• To report all accidents and incidents to the midwife in charge.

• To ensure that hospital property is properly used and cared for.

• To assist in any other non-clinical duties as required.

Requirements:

  • Maths and English GCSE pass or Equivalent.
  • Understands the need for strict confidentiality.
  • Experience of working with the public and in a team.
  • Understands and is committed to a caring approach to patients & relatives.
  • Ability to use basic functions of Microsoft Office effectively (Word, Outlook etc)
  • The ability to communicate effectively both verbally and in writing to patients and staff at a wide range of levels including on the telephone.
  • Good customer care skills – able to put patients at ease and deal with them in a professional and positive way.
  • The ability to work well under pressure and meet deadlines.
  • Organised, efficient and accurate in the processing of clerical work.
  • Attention to detail and ability to carry out work in a timely and accurate manner.
  • The ability to work efficiently as part of a team.
  • The ability to prioritise own workload.
  • The ability to act on own initiative and understand limitations of role and knowledge.
  • Works in front of VDU for a significant part of shift.
  • Deals directly with patients and relatives who are upset.
