Job Summary:
Responsible for facilitating outpatient appointment bookings, ensuring timely scheduling, and providing comprehensive administrative support, including phone handling, data entry, and reception duties. Communicate appointment and admission details to patients and carers, and support theater and outpatient booking processes.
Key Responsibilities:
- Deliver excellent customer service to patients and colleagues.
- Greet and assist visitors courteously.
- Perform data entry using Microsoft Word and Excel.
- Assist with weekly validation of patient tracking lists (PTL).
- Prepare medical records and correspondence for clinical sessions.
- Arrange and book patient appointments, including pre-op assessments.
- Handle telephone inquiries and provide non-clinical information.
- Manage patient records and ensure confidentiality.
- Assist and direct visitors in a professional manner.
- Manage group mailboxes and distribute mail.
- Resolve minor issues and escalate when necessary.
- Perform timely reception duties with attention to confidentiality.
- Adhere to all Trust policies
Qualifications
Essential
- Education to GCSE Level, grade C or above
- Literacy and numeracy
Skills and Knowledge
Essential
- Excellent interpersonal and communication skills
- Evidence of experience of working with the public and delivering good customer service
- Computer literacy & keyboard skills including Microsoft Office
- The ability to work unsupervised demonstrating time management skills to meet deadlines
DESIRABLE
- Previous experience of providing clerical support in a busy and challenging environment
- Experience of working in a healthcare environment
- Knowledge of hospital databases/ information systems such as PAS, Minestrone and Opera
- Demonstrate accuracy and attention to detail
