Moorfields and UCL Institute of Ophthalmology have formed a strategic partnership to deliver education as one of their core activities in the eye and vision health care sector. As global leaders in eye and vision health care, they are looking to expand their offering in short course both face to face and on-line.  They will deliver these courses in their education hub near the main Moorfields Hospital on City Road in their education hub at Ebenezer Street


 Main Purpose of the Job

The role will specialise in developing and implementing the strategic ambition around short courses/CPD on behalf of Moorfields/IoO. This role will include developing, producing and evaluating business plans and programmes to be ran as part of a suite of short courses that span ophthalmology subspecialties as well as allied health professional courses. The role will coordinate events, support the delivery of professional and inspiring events and help to create a positive environment while also overseeing budgets and space.


Duties and Responsibilities

  • For both internal and external events and conferences, the post holder is responsible to:
  • Coordinate and set the calendar of academic and Moorfields-internal events to indicate vacant slots for other business for the entire academic year
  • Manage the complete cycle of events from initial point of enquiry, meeting with organisers, establishing requirements, liaising within relevant departments, to final invoicing
  • Supervise large events in person, including some that take place in evenings or at weekends
  • Prepare contracts and agreements with organisers, raise and send out invoice(s) to clients, including deposits
  • Provide support to events originated by education staff and others within Moorfields for education purposes
  • Collate information for relevant departments for room booking. This includes special dietary requirements, timings, accommodation requirements, use of other facilities off-site, access to facilities, staffing assigned to functions
  • Carry out risk assessments of functions
  • Establish and control a booking system for Ebenezer Street and act as a site manager
  • Communicate with Heads of Department and other departments to ensure smooth operation of events and attend regular coordination meetings
  • Provide a detailed education event budget to predict yearly expenses and income
  • Market the facilities as an attractive venue when not in use by Moorfields or Institute of Ophthalmology – using social media, updating website and brochure and attending events to market Ebenezer Street
  • Set event prices each year with the Director of Education and course leads. Work across to the UCL Institute of Ophthalmology working with its space committee and Marketing and communication manager to ensure efficient use of spaces and promotion of events
