At Bank Partners, our aim is to make sure that it’s easy for you to work flexible shifts in a supportive, professional environment. We’ve included below some key information that you might find useful as you start your journey with us.

Your consultant will have already advised you if you have access to view and self-book shifts via the Trust’s chosen booking platform. Please contact our team if you are unsure.

Cancelling a shift

We understand that circumstances can change, and you may occasionally need to cancel a scheduled work shift. To ensure a smooth and efficient process, please follow the procedures below:

More than three days’ notice:
If you need to cancel your shift with more than three days’ notice, please complete our online cancellation form. This form collects all the necessary information so we can process your cancellation promptly and accurately.

Less than three days’ notice:
If you need to cancel your shift within three days of the scheduled date, please contact our Bookings Team directly between the hours of 6am – 10pm. The Bookings Team will assist you with processing the last‑minute cancellation and ensuring a smooth transition.

It is important to notify the Bookings Team as soon as possible so they can make the necessary adjustments to the schedule and attempt to find a suitable replacement. We appreciate your understanding and cooperation in following this guideline.

Trust cancellations
On rare occasions, the trust may cancel a shift, but we will always ensure that you will be paid for this in full if cancelled within 2 hours before the start of the shift.

Flexibility when working

As with all NHS Staff Banks, you may be asked by the Trust to work in a different setting on occasions to the one which you have booked. This will always be with patient safety in mind, and we appreciate your flexibility and understanding.

Stay within the 48-hour weekly limit

To protect your wellbeing and stay compliant with the Working Time Directive, please ensure your total working hours average no more than 48 hours per week over any Monday–Sunday period, typically calculated across a 17-week reference period.

Trust leavers

Please be aware that as a substantive worker, if you intend on leaving the Trust, you must inform Bank Partners immediately. If you wish to continue working bank shifts at UCLH you may, but you will need to sign up to our external bank. This may take between 4-6 weeks, so you are given a 6-week grace period from the day you leave to continue working bank while this set-up is being processed, to ensure there is no break from work.

Good to know

Payroll & timesheets

The UCLH bank payroll week runs from Monday to Sunday. You must submit your timesheet by Monday at midnight, to be approved by the department manager by midday Tuesday. Payment will be made on Friday, for any hours submitted.

Charge information

Please note that future DBS applications, additional uniform requests, and copies of training certificates are subject to a charge. For any support or information about these charges, please do not hesitate to contact us.

Dedicated UCLH Bank staff are based on site at the Trust Monday to Friday 09:00-17:00 to offer any support or assistance you may need. Our out of hours team pick up nurse bookings outside of those hours.
