At Bank Partners, our aim is to make sure that it’s easy for you to work flexible shifts in a supportive, professional environment. We’ve included below some key information that you might find useful as you start your journey with us.

Booking and working shifts

Booking shifts – Consultants

All bank work for Consultants is recorded on the Trust rostering system – Allocate Loop. You will receive a separate email with your log ins.

There is a desktop version that you can access here or you can download the Allocate Loop app in your app store on your phone.

All shifts must be booked in advance, you must have a valid BRN (booking reference number) in order to be paid for the shifts you have worked.

Booking shifts – Non-consultant doctors

All non-consultant doctors must use the Patchwork Health app to book shifts and submit timesheets.

Need the Patchwork app? Follow these steps:

  1. Download the Patchwork Health app
  2. Register and select: Barts Health NHS Trust and External worker
  3. Wait for your activation email once Bank Partners validates your account
  4. Browse, book shifts, and submit timesheets all in one place

Waiting on your Patchwork account activation?
If you applied to join the bank via the Patchwork Health App and haven’t received your account activation email after one week, please contact us on joinbartsbank@bankpartners.co.uk or 0333 577 3390.

Flexibility when working

As with all NHS Staff Banks, you may be asked by the Trust to work in a different setting on occasions to the one which you have booked. This will always be with patient safety in mind, and we appreciate your flexibility and understanding.

Cancelling a shift

We understand that circumstances can change, and you may occasionally need to cancel a scheduled work shift. To ensure a smooth and efficient process, please follow the procedures below:

More than three days’ notice:
If you need to cancel your shift with more than three days’ notice, please complete our online cancellation form. This form collects all the necessary information so we can process your cancellation promptly and accurately.

Less than three days’ notice:
If you need to cancel your shift within three days of the scheduled date, please contact our Bookings Team directly. You can reach them by calling 0333 577 3390 between the hours of 6am – 10pm. The Bookings Team will assist you with processing the last‑minute cancellation and ensuring a smooth transition.

It is important to notify the Bookings Team as soon as possible so they can make the necessary adjustments to the schedule and attempt to find a suitable replacement. We appreciate your understanding and cooperation in following this guideline.

Keeping patients safe

Stay within the 48-hour weekly limit

To protect your wellbeing and stay compliant with the Working Time Directive, please ensure your total working hours average no more than 48 hours per week over any Monday–Sunday period, typically calculated across a 17-week reference period.

Good to know

Charge information

Please note that future DBS applications, additional uniform requests, and copies of training certificates are subject to a charge. For any support or information about these charges, please do not hesitate to contact us.

Annual leave

From 1st of April 2026 your annual leave – Working Time Directive (WTD) payment is already included in your pay.

You can confirm this by checking your payslip, there is a separate line labelled “WTD payment”, which represents your annual leave entitlement.

Payroll and timesheets

The Barts bank payroll week runs from Monday to Sunday.

Your booked bank shifts will need to be finalised on Allocate or Patchwork (for Consultants) by the ward/department manager prior to being processed. The deadline for shifts worked between Monday and Sunday is 2PM on the following Monday.

Payment date is the same week Friday immediately following Monday’s 2PM deadline. The authorisation of shifts can be monitored using the planner page in your Loop account.

Pension

You are automatically enrolled into a pension. If you wish to opt-out and claim a refund for any shifts worked please see the below information:

An NHS Opt out of pensions form must be original – scanned or photocopied versions are not accepted.

Completed forms are to be sent to: Barts Health NHS Trust, Pensions Section, State Street Building, 9th Floor, 20 Churchill Place, Canary Wharf, London, E14 5HJ.

It’s recommended to keep a copy of the original form for your records.
