A big welcome to the Portsmouth Staff Bank. Whether you’re already working at the Trust or are a new joiner, we’re very grateful to have you on board.

At Bank Partners, our aim is to make sure that it’s easy for you to work flexible shifts in a supportive, professional environment. We’ve included below some key information that you might find useful as you start your journey with us.

Booking and working shifts

ID badge (Applicable to bank only workers)

Your ID badge will take approximately 3 to 4 working days to be processed from the point of request. Once ready, it can be collected from main reception on A level at QA Hospital.

Please note that we are not notified when the badge is ready. You will need to contact QA Hospital main reception directly to confirm when it is available for collection.

You must not book any shifts until you have received your ID badge, as this is a mandatory part of your uniform requirements.

Uniform (Applicable to bank only workers)

For Health Care Support workers and Registered Nurses, you will receive one tunic at point of clearance from our onboarding team (subject to availability). If you wish to purchase more uniform it is £15 per item. For all other staff please refer to the Trust’s uniform policy.

IT access (Applicable to bank only workers)

Your IT logins will take around 5 working days to be set up from the point we submit the request.

If you are a Trust leaver, your IT logins will remain the same as those used during your Trust employment. However, these must be reactivated by IT before your first shift as a Bank-only worker.

Alternatively, your IT logins will be sent to your personal email address. It is essential that you do not book any shifts until your access has been fully set up.

Allocate Loop (Applicable to bank only workers)

The Trust publishes and shares available bank shifts via the app Loop. You’ll receive guidance on how to create your Loop account directly from the Trust Rostering Team within 48hrs of your onboarding being completed, but if you have any queries on creating your Loop account please contact 02394 354 299 or pho-tr.rosteringteam@nhs.net.

As a tip we would recommend checking your email junk folder as an email from new senders can be automatically delivered there by your email service provider.

Cancelling a shift

We understand that circumstances can change, and you may occasionally need to cancel a scheduled work shift. To ensure a smooth and efficient process, please follow the procedures below:

More than three days’ notice:
If you need to cancel your shift with more than three days’ notice, please complete our online cancellation form. This form collects all the necessary information so we can process your cancellation promptly and accurately.

Less than three days’ notice:
If you need to cancel your shift within three days of the scheduled date, please contact our Bookings Team directly. You can reach them by calling 0333 577 3316 between the hours of 6.30am – 10pm. The Bookings Team will assist you with processing the last‑minute cancellation and ensuring a smooth transition.

It is important to notify the Bookings Team as soon as possible so they can make the necessary adjustments to the schedule and attempt to find a suitable replacement. We appreciate your understanding and cooperation in following this guideline.

Flexibility when working

As with all NHS Staff Banks, you may be asked by the Trust to work in a different setting on occasions to the one which you have booked. This will always be with patient safety in mind, and we appreciate your flexibility and understanding.

Stay within the 48-hour weekly limit

To protect your wellbeing and stay compliant with the Working Time Directive, please ensure your total working hours average no more than 48 hours per week over any Monday–Sunday period, typically calculated across a 17-week reference period.

Charge information

Please note that future DBS applications, additional uniform requests, and copies of training certificates are subject to a charge. For support or information about these charges, please contact us.

Parking

All car parking queries or requests should be directed to the Trust car parking team at pho-tr.carparking@nhs.net. Please note, requests are not guaranteed.

Pay, timesheets & support

  • Hours are confirmed weekly by the department manager.
  • Please check local arrangements at the start of your shift and sign the ward attendance book if required. Failure to do so may delay payment.
  • You are responsible for submitting your timesheets on time.
  • Pay is processed weekly on Fridays, subject to shifts being finalised and at least one week in arrears. Payslips will be emailed directly to you.
  • Bank shifts are classed as a second job, therefore UK tax and National Insurance contributions will apply.
  • Our payroll team is available to support with any pay-related queries, Monday to Friday, 9am to 5pm. Please email portsmouth.support@bankpartners.co.uk for assistance.
