A big welcome to the Kingston and Richmond Staff Bank. Whether you’re already working at the Trust or are a new joiner, we’re very grateful to have you on board.

At Bank Partners, our aim is to make sure that it’s easy for you to work flexible shifts in a supportive, professional environment. We’ve included below some key information that you might find useful as you start your journey with us.

Booking and working shifts

Viewing and booking shifts

To view all shifts, you’ll use Allocate Loop (formerly EOL) – the Trust’s shift booking platform.

You’ll receive your Allocate Loop login details from krft.erosteringsupport@nhs.net – check your junk folder and mark the sender as safe. If you already have an account, just log in as usual; no need to register again.

Nursing staff –  you can book shifts via the Loop app.

All other staff groups – Please view shifts on the Loop App and call the bookings team on 0333 577 3411 to book.

How to set up Allocate Loop

  1. Download the Allocate Loop app
  2. Accept the terms & conditions
  3. Select Kingston Hospital Trust from the drop-down menu
  4. Link your account using the HealthRoster login details emailed to you
  5. Tap Associate to complete set up

If you haven’t received your login email yet, keep checking – these are sent out regularly.

Need help? Contact the Trust Rostering Team on 020 8973 5381 or krft.erosteringsupport@nhs.net (Monday – Friday, 9am–5pm). Our Bank Partners teams are unable to provide login details and will refer you back to the Rostering Team.

IT login details

Trust leavers:
Your details will remain the same as they were during your time in Trust employment. However, we must reactivate your credentials with IT before your first shift back as a bank only worker.

Bank only workers:
For all bank only new starters, you must call IT on 020 8973 5200 to set up your IT login.

Cancelling a shift

We understand that circumstances can change, and you may occasionally need to cancel a scheduled work shift. To ensure a smooth and efficient process, please follow the procedures below:

More than three days’ notice:
If you need to cancel your shift with more than three days’ notice, please complete our online cancellation form. This form collects all the necessary information so we can process your cancellation promptly and accurately.

Less than three days’ notice:
If you need to cancel your shift within three days of the scheduled date, please contact our Bookings Team directly. You can reach them by calling 0335 773 411 during working hours. The Bookings Team will assist you with processing the last‑minute cancellation and ensuring a smooth transition.

It is important to notify the Bookings Team as soon as possible so they can make the necessary adjustments to the schedule and attempt to find a suitable replacement. We appreciate your understanding and cooperation in following this guideline.

Working a shift

As with all NHS Staff Banks, you may be asked by the Trust to work in a different setting on occasions to the one which you have booked. This will always be with patient safety in mind, and we appreciate your flexibility and understanding.

Keeping patients safe

Stay within the 48-hour weekly limit

To protect your wellbeing and stay compliant with the Working Time Directive, please ensure your total working hours average no more than 48 hours per week over any Monday–Sunday period, typically calculated across a 17-week reference period.

Good to know

Charge information

Please note that future DBS applications, additional uniform requests, and copies of training certificates are subject to a charge. For support or information about these charges, please contact us.

CRS cards

You will need to complete CRS training prior to collecting your card. CRS cards are issued by way of appointment only. Appointments can be arranged by contacting khft.crssmartcard@nhs.net.

Payroll & timesheet submission

Once you have completed a shift your manager or agreed timesheet authoriser will need to finalise your shift no later than 12pm on a Monday in order for a payment to be processed for Friday.

Please be aware that payroll is operated by the trust directly, alternative deadlines may apply during bank holidays.

Uniform

If you require uniform for your role, you must:

  1. Request a uniform form from our onsite team
  2. Book a sewing room appointment on 020 8934 2491
  3. Collect uniform from Esher Wing, First Floor. Opening hours: Monday–Thursday 09:30 – 13:30 and Friday 08:30 – 16:30

ID badge collection

To request an ID badge you will need to:

  1. Request an ID badge form from our onsite team
  2. Book an estates appointment on 020 8934 2003 (option 3) to collect your badge
  3. Collect ID badge. Opening hours: Mon–Fri: 08:00–16:00

It is essential you do not book a shift prior to receiving your ID badge.
