Band 3 - Vaccination Admin Support - Whittington - London

The Role:

Whittington Health is seeking highly organised and detail-oriented administrative staff to support the delivery of the seasonal COVID-19 and influenza vaccination programme across our local boroughs. This role is integral to the effective operation of the vaccination service, requiring candidates to manage high-volume patient bookings, maintain accurate and up-to-date clinical records, and support data reporting processes in line with NHS standards.

Working as part of a multidisciplinary vaccination team, the postholder will be responsible for ensuring the accuracy and integrity of patient information systems and providing responsive administrative support. The role demands strong IT proficiency, excellent communication skills when engaging with vulnerable patient groups, and the ability to work efficiently under pressure while maintaining a high level of accuracy and professionalism.

Key Responsibilities:

  • Contact and schedule housebound patients for vaccination appointments via telephone
  • Maintain and update daily booking spreadsheets and appointment records
  • Accurately manage and update patient databases
  • Scan and electronically file vaccination documentation
  • Provide comprehensive administrative support to the wider vaccination team
  • Provide administrative support during community vaccination visits, including accompanying vaccination nurses to care homes to assist with patient records, documentation, and the smooth delivery of vaccination sessions

Requirements:

  • Strong IT and data entry skills, including experience with NHS systems (e.g. Spine Portal, RAVS)
  • Excellent communication and interpersonal skills, particularly when supporting vulnerable or anxious patients
  • High level of accuracy and attention to detail
  • Proactive, reliable, and able to work independently as well as part of a team
  • Willingness to travel to care homes across local boroughs as part of the vaccination team, providing on-site administrative support to facilitate the delivery of vaccination services
