Subject Access Request Clerical Admin - Band 2 - Portsmouth

Join our Information Governance team at Portsmouth Hospitals University Trust as a Subject Access Request Clerical Officer, where you’ll play a vital role in ensuring the Trust meets its legal and regulatory obligations under GDPR and the Data Protection Act.

About the Role

As part of our Single Corporate Services team, you’ll support the processing of Subject Access Requests (SARs), helping patients and service users access their health records. You’ll work closely with the Information Governance Administrator and Officer, using multiple data sources and systems to compile, redact, and release records in line with Trust policy.

This is a site-based role, but you may occasionally be required to travel between Portsmouth Hospitals University Trust and Isle of Wight NHS Trust locations.

Key Responsibilities

  • Process SARs and Access to Health Records requests in accordance with Trust policies.
  • Retrieve, copy, and redact health records using various IT systems.
  • Ensure all documentation is legally compliant, including consent and ID checks.
  • Escalate concerns or queries appropriately.
  • Support the wider Information Governance team in maintaining high standards across the Trust.

What We’re Looking For

Essential:

  • GCSEs in English and Maths.
  • Good verbal, written, and telephone communication skills.
  • Basic IT skills (e.g., Microsoft Word, Outlook).
  • At least 6 months paid admin experience in the UK in the last 3 years.
  • Awareness of SARs, GDPR, and NHS IT systems

Desirable:

  • NVQ Level 2 or equivalent experience.
