Occupational Health Administrator - Band 4
HRCH provides community health services for around 523,000 people registered with GPs in the London boroughs of Hounslow and Richmond. The Trust currently employ around 1,300 people, who work across a wide range of health centres, hospitals, GP surgeries, children’s centres, local council facilities and in community settings – including in people’s homes. This helps people across the community to stay well, manage their own health with the right support and avoid stays in hospital.
The Trust are looking for an Administrator to join the team on a Full Time basis for an ongoing period to meet the demands of the service.
Key Responsibilities and Job Summary Bank Occupational Health Administrator
To provide secretarial and administrative support to the Occupational Health (OH) function for the Kingston Hospital Foundation Trust and Hounslow and Richmond Community Healthcare Trust. To manage all administrative duties and ensure the smooth running of the office daily, highlighting any concerns with the OH Admin Manager. Training and support will be given for this post. This post is for three months to support the Occupational Health Department.
Roles and Responsibilities
2. Administration
2.1 To manage the appointments and diaries for OH Consultant and OH Advisers and arrange appointments via the Occupational Health OPASG2 system.
2.2 To arrange appointments for Trust staff who have been referred to Occupational Health by their manager, informing managers of any staff who do not attend.
2.3 To book immunisation and screening appointments for new candidates to the Trust via the OPASG2 system
2.4 Assist in ensuring an effective system is in place for ‘recall’ and for sending non-attendance letters to staff/managers as appropriate.
2.5 Plan, diarise and co-ordinate OH and related Trust meetings and events as directed by the OH Admin Manager and OH Advisers.
2.6 Prepare notes at the advice of the OH Admin Manager and OH Advisers when an employee has requested assess to their medical records.
2.7 To provide cover for other administrative staff as and when required (lunchtimes/sickness absence/annual leave).
2.8 Manage the HRCH OH inbox daily, entering new health questionnaires to OPASG2, booking candidates appointments.
