Kingston Hospital Staff Bank have a great opportunity, for a Patient Pathway Support Administrator to work within the Paediatrics Department at Kingston Hospital.  

The post holder will be responsible for delivering an effective and efficient support service to speciality/POD teams, to assist in the provision of quality patient care.  This will include general clerical and administrative duties that support he administrative elements of the entire patient pathway.

Department Philosophy

 

The purpose of the Division is to deliver high quality care to our patients. Every member of staff is expected to be flexible in the way they work and to undertake any task or activity assigned to them. However, staff will only be required to undertake activities for which training has been provided and for which they are assessed as competent.

KEY RESPONSIBILITIES/OUTCOMES:

Administrative

  1. To be responsible for the timely processing and distribution of all incoming mail
  2. Ensure all letters, faxes and documents received into the area of work from whatever source are date stamped upon arrival and processed according to SOP
  3. To support Patient Pathway Coordinators (PPCs) with printing documents from a variety of systems, including medical transcription system
  4. Check that all printed clinic and appointment letters are complete and accurately addressed, and escalate any that need correction to PPCs
  5. Assist the PPC to ensure all healthcare notes and diagnostic results are available for each patient at beginning of the clinic session
  6. Ensure all relevant documents are filed in patients’ healthcare records according to local standards for turnaround time
  7. Ensure that all health records are tracked both in and out of the department at all times
  8. Ensure healthcare notes are filed and stored within the department according to SOP
  9. Retrieve health records as requested by members of the team
  10. Book and reschedule patient appointments as required
  11. Respond to emails about appointment queries as directed
  12. Assist with booking services for patients e.g. transport
  13. Undertake reception duties and work within a rota with all other Receptionist/Patient Pathway Support Staff between the hours of 0800-1800.
  14. Deal with straight forward queries using CRS and other systems available, escalating more complex queries to the PPC for investigation.
  15. Deal with telephone queries promptly and efficiently
  16. Ensure comprehensive information is captured when taking messages for other members of the team
  17. Deal with complaints from patients, primary care and other staff, resolve where possible or refer onwards to senior members of the admin team
  18. Collect data as required to assist with audits of service provision
  19. Maintain databases and/or departmental spread sheets
  20. Ensure data quality and accuracy of any information entered into information systems is maintained
  21. Ensure that all patients and colleagues are treated courteously at all times in line with customer care standards and Trust values
  22. Maintain excellent communication between patients, nursing staff, clinicians and other members of administrative and multi-disciplinary team at all times
  23. Ensure adequate stocks of stationery, supplies and forms are maintained and used cost effectively within the department, liaising as appropriate with the team leader when stocks need to be replenished

 

 

Education and Training/Self-Development

  1.  Identify own training and development needs and undertake appropriate training/education as required.
  2.  Participate in an annual individual performance review process where objectives will be agreed, performance monitored and personal development needs discussed.
  3.  To attend all statutory and mandatory training as and when required to do so.
  4.  Act responsibly in respect of colleague’s health, safety and welfare following safe work practices and complying with the Trust’s Health and Safety Policies.
  5.  Adhere to all Trust Policies as applicable.
