Job Summary

The primary objective of this role is to provide engagement and administrative support to the Organisational Development team.  This means providing outreach support for staff engagement activities, administrative support for staff recognition schemes and co-ordinate resources to support key leadership programmes.

A background of working in customer facing role including resource coordination will be highly beneficial, as will a good understanding / appreciation of working in the health sector.

The post-holder is a member of the culture team and supports colleagues on matters relating to engagement and organisational development.

Role Duties and Outcomes

Manage the OD mailbox

  • User queries are responded to within the agreed service level agreement
  • Evaluate common queries and create FAQs to assist users
  • Raise queries with the appropriate OD Team member as required

Process requests via the PECOS finance system

  • Raise requisitions and receipt all orders for the OD Team
  • Record all invoices and purchase orders for OD team
  • Submits a credit card transaction spreadsheet monthly for the accounts department
  • Liaise with finance and accounts payable departments about PECOS orders and queries

Team administration support

  • Provide general administration support to the ODteam

Staff recognition scheme and champion recognition

  • Provide support in the planning of the Trust’s staff recognition programme, including issuing of invitations to staff to apply; collecting, collating and checking nominations

Engagement outreach and support

  • Support the outreach efforts to create enthusiasm for engagement survey’s and encourage staff participation
  • Assists the staff engagement lead with statistics, staff outreach and ordering incentives for staff survey
  • Administer on-line staff survey focus sessions, including managing break-out rooms and collating feedback

Maintain OD intranet pages

  • Support in the maintenance and update of the OD intranet pages
